Nashia After-School Enrichment Program

Terms & Conditions

Please read these terms carefully before enrolling your child.

By enrolling a student in the Nashia After-School Enrichment Program, the parent or legal guardian confirms that they have read, understood, and agreed to the following Terms & Conditions.

1.Enrollment & Registration

  1. Enrollment is confirmed only after Nashia receives the completed enrollment form and the applicable program fee.
  2. Parents/guardians are responsible for providing accurate and complete information regarding the student, including contact, emergency, medical, allergy, dietary, learning, accessibility, and authorized pickup information.
  3. Parents/guardians must notify Nashia promptly if any submitted information changes.
  4. Nashia reserves the right to review enrollment applications and determine appropriate program placement based on the student's age, grade, needs, availability, program suitability, and capacity.
  5. A $50 annual registration fee per student is applicable to all students and is separate from monthly tuition.

2.Program Structure & Schedule

  1. The After-School Enrichment Program operates according to the schedule published by Nashia.
  2. The program generally operates Monday through Friday from 3:00 PM to 5:00 PM, subject to the published program schedule.
  3. Program activities may include homework support, STEAM enrichment, science projects, academic competitions, creative activities, teamwork, sports, indoor activities, and other age-appropriate enrichment experiences.
  4. Activities may be adjusted based on student needs, weather, facility availability, instructor availability, safety considerations, seasonal conditions, or other operational circumstances.
  5. Nashia may modify the program schedule or activities when reasonably necessary and will communicate significant changes to parents/guardians.

3.Attendance

  1. Students are expected to attend according to their registered program arrangement and arrive at the designated program location according to the agreed schedule.
  2. Parents/guardians should notify Nashia as soon as possible when a student will be absent or arrive late.
  3. Missed sessions due to personal absence, vacation, illness, appointments, or other personal circumstances generally do not qualify for refunds, credits, make-up sessions, or fee reductions.
  4. Repeated or unexplained absences may affect participation in ongoing projects, competitions, group activities, or other program work.
  5. Nashia does not guarantee make-up sessions for missed attendance.

4.Tuition Fees & Discounts

Regular Program

  1. The Regular Program tuition is $400 per month for students from Pre-K3 through Grade 8.
  2. The Regular Program includes structured homework support, STEAM enrichment activities, Science Fair projects, Islamic Studies projects, and other appropriate intra-school competitions and enrichment activities.
  3. The Regular Program is the standard enrollment option and does not require students to select individual attendance days.

Early-Enrollee Discount

  1. A 25% Early-Enrollee Discount is available for students who complete enrollment within the designated early-enrollment period.
  2. The Early-Enrollee enrollment deadline is September 30, 2026.
  3. Students enrolled and confirmed on or before September 30, 2026 will receive the discounted monthly tuition of:
    Regular Tuition$400/month
    25% Early-Enrollee Discount−$100/month
    Early-Enrollee Tuition$300/month
  4. The Early-Enrollee Discount saves $100 per month.
  5. Beginning October 1, 2026, the Early-Enrollee Discount will no longer be available, and the Regular Program tuition will be $400 per month.
  6. The Early-Enrollee Discount applies only to eligible enrollments completed and confirmed within the stated deadline. Late applications or incomplete enrollment/payment submissions may not qualify.

Advanced Competition Program

  1. The Advanced Competition Program is a special option for students seeking additional coaching and preparation for intra-school and inter-school competitions, with progression toward regional and state-level opportunities where applicable.
  2. Advanced Program tuition remains:
    • 1 activity / 1 day per week — $250/month
    • 2 activities / 2 days per week — $300/month
    • 3 activities / 3 days per week — $350/month
    • 4 activities / 4 days per week — $400/month
    • 5 activities / 5 days per week — $450/month
  3. Advanced Program placement and activity selection are subject to availability, student suitability, and Nashia's program requirements.

Registration & Sibling Discount

  1. The $50 annual registration fee per student applies to both Regular and Advanced Program students.
  2. A 10% sibling discount may be applied to eligible multiple-child families according to Nashia's enrollment arrangements. The applicable discount will be confirmed by Nashia.
  3. Discounts cannot be combined unless expressly approved by Nashia.

5.Payment

  1. Tuition and applicable fees must be paid according to the payment schedule communicated by Nashia.
  2. Enrollment is not considered confirmed until the required payment has been received and verified.
  3. Parents/guardians are responsible for submitting accurate payment information and a clear payment receipt, voucher, or transaction reference when requested.
  4. Applicable additional charges, including extended pickup, late pickup, registration, or other approved services, must be paid according to the applicable fee schedule.
  5. Nashia reserves the right to suspend participation or withhold enrollment confirmation when required payments remain outstanding.

6.Pickup & Extended Pickup

  1. Students may only be released to a parent/guardian or an individual authorized by the parent/guardian through the enrollment form or subsequent written notification.
  2. Parents/guardians are responsible for ensuring that authorized pickup information remains current.
  3. Regular pickup must be completed by 5:15 PM.
  4. Extended pickup is available from 5:15 PM to 6:15 PM for an additional fee of $100 per month per student.
  5. Extended pickup must be arranged and paid for in advance.
  6. Parents/guardians should notify Nashia as soon as possible in the event of an unexpected delay.

7. Late Pickup — Important

6:15 PM IS THE ABSOLUTE LATEST PICKUP TIME FOR STUDENTS USING EXTENDED PICKUP.

  1. The $100 extended-pickup fee covers care only through 6:15 PM.
  2. A $50 late-pickup fine will be charged for EVERY pickup after 6:15 PM.
  3. The $50 fine applies to each occurrence, regardless of whether the delay is brief or extended.
  4. Parents/guardians are expected to plan their arrival so that the student is picked up before the 6:15 PM deadline.
  5. Advance notification of a delay does not automatically waive the late-pickup fine.
  6. Repeated late pickups may result in a review of the student's pickup arrangement and may require the family to make alternative arrangements.
  7. Continued failure to comply with the pickup deadline may affect continued participation in the program.

8.Health, Allergies & Medical Information

  1. Parents/guardians must disclose relevant allergies, medical conditions, dietary restrictions, physical limitations, learning needs, accessibility requirements, or other health or safety information that may affect the student's participation.
  2. Parents/guardians must immediately inform Nashia of any significant change in the student's health or medical circumstances.
  3. Nashia is not responsible for health or safety risks arising from information that was not disclosed or was inaccurately provided by the parent/guardian.
  4. Parents/guardians are responsible for providing any required medication or specific medical instructions and communicating appropriate procedures to Nashia in advance.
  5. Nashia may contact the parent/guardian or emergency contact if a student becomes unwell or requires immediate attention.
  6. In an emergency, Nashia may seek appropriate emergency assistance when reasonably necessary.

9.Safety & Emergency Situations

  1. Nashia takes reasonable measures to provide a safe, supervised, and supportive learning environment.
  2. Educational, physical, sports, laboratory, maker, technology, outdoor, and other hands-on activities may involve ordinary and foreseeable risks.
  3. Activities will be selected and supervised with consideration for the student's age, developmental level, and safety.
  4. In an emergency, Nashia may contact the parent/guardian or designated emergency contact and, when reasonably necessary, seek appropriate emergency medical assistance.
  5. Parents/guardians are responsible for providing accurate emergency contact information and keeping it updated.

10.Student Conduct, Property & Damage

Nashia is committed to maintaining a respectful, inclusive, safe, and positive learning environment. Students are expected to:

  • Treat educators, staff, and other students with respect.
  • Follow reasonable instructions and safety guidelines.
  • Use equipment, materials, technology, and facilities responsibly.
  • Participate appropriately in individual and group activities.
  • Avoid bullying, harassment, threatening behavior, discrimination, fighting, vandalism, or intentional damage to property.

Damage to Nashia Property

  1. Students must treat all Nashia property, equipment, technology, furniture, learning materials, supplies, facilities, and other program resources with proper care.
  2. If a student intentionally, recklessly, or through careless or inappropriate behavior damages, breaks, destroys, or misuses Nashia property, the parent/guardian will be financially responsible for the resulting damage.
  3. The parent/guardian may be required to pay the full cost of repair or replacement of the damaged property, as determined by Nashia.
  4. A strict damage fine will also be applied in cases of intentional, reckless, or inappropriate damage, in addition to any applicable repair or replacement cost.
  5. The amount of the applicable charge will be determined by Nashia based on the nature and extent of the damage.
  6. Parents/guardians will be informed when a significant property-damage incident occurs.
  7. Repeated or serious misconduct or property damage may result in disciplinary action, suspension, or termination of enrollment.

11.Personal Belongings & Equipment

  1. Students are responsible for their personal belongings brought to the program.
  2. Nashia is not responsible for lost, damaged, or misplaced personal items unless the loss or damage results from proven negligence by Nashia.
  3. Students must use Nashia's equipment, technology, learning materials, and facilities responsibly.
  4. Students should not bring unnecessary valuables, expensive personal items, or equipment that is not required for the program.
  5. Any personal item brought to the program remains the responsibility of the student and parent/guardian.

12.Technology & Digital Activities

  1. Nashia may use computers, tablets, robotics equipment, digital platforms, AI tools, cameras, and other educational technology as part of its enrichment activities.
  2. Technology use will be age-appropriate and supervised by Nashia educators.
  3. Students are expected to follow all applicable technology, internet, account, privacy, and platform-use guidelines provided by Nashia.
  4. Nashia may restrict or discontinue access to specific digital tools when necessary for safety, privacy, educational, or operational reasons.
  5. Students may not intentionally damage, misuse, alter, or interfere with Nashia's technology, accounts, software, or digital resources.

13.Photography, Video & Student Work

  1. Nashia may photograph or record students during program activities for documentation, educational purposes, program communications, and promotional materials, subject to the media consent selected by the parent/guardian.
  2. Parents/guardians may choose whether to provide media consent where Nashia provides a separate consent option.
  3. Student-created artwork, projects, presentations, or other work may be displayed or shared for educational or promotional purposes in accordance with the applicable consent provided by the parent/guardian.
  4. Nashia will make reasonable efforts to protect students' privacy and will not intentionally publish sensitive personal information.

14.Staff Screening, Supervision & Child Safety

  1. Nashia is committed to maintaining a safe environment for children and families.
  2. Nashia makes reasonable efforts to recruit qualified educators, coaches, mentors, and support staff who are appropriate for working with children.
  3. Nashia conducts appropriate screening and background checks for staff and instructors, where applicable and permitted by law, before or as part of their engagement with the program.
  4. Staff members are expected to follow Nashia's professional conduct, child-safety, supervision, confidentiality, and program policies.
  5. Students will be supervised during scheduled program activities by Nashia staff or approved instructors/coaches.
  6. Nashia may remove or restrict a staff member's participation in the program when concerns arise regarding conduct, safety, qualifications, or compliance with program policies.
  7. Parents/guardians should promptly report any safety, conduct, or supervision concern to Nashia management so that it can be reviewed appropriately.

15.Communication

  1. Nashia will communicate important program information through the contact details provided during enrollment.
  2. Parents/guardians are responsible for checking relevant communications and responding when action is required.
  3. Nashia is not responsible for missed information resulting from incorrect, inactive, or outdated contact information provided by the parent/guardian.
  4. Parents/guardians should promptly communicate any concerns regarding their child's participation, safety, learning needs, or wellbeing.

16.Cancellation by Nashia

  1. Nashia may modify, postpone, relocate, or cancel a session when necessary due to weather, facility issues, safety concerns, instructor availability, emergencies, or circumstances beyond its reasonable control.
  2. When practical, Nashia will provide advance notice of significant changes.
  3. If Nashia cancels an individual session and is able to provide a reasonable make-up session or equivalent program arrangement, the make-up session may be provided instead of a refund.
  4. If Nashia cancels a paid session and cannot provide a reasonable make-up session, credit, or equivalent replacement, Nashia may provide an appropriate credit or refund for the affected portion, based on the circumstances.
  5. Routine changes to activities, instructors, schedules, or program arrangements that do not materially prevent the program from being delivered do not automatically create a right to a refund.

17.Withdrawal by Parent/Guardian & Refund Policy

This section constitutes the Nashia Refund Policy applicable to enrollment in the After-School Enrichment Program.

  1. Parents/guardians wishing to withdraw a student must notify Nashia in writing.
  2. Monthly tuition is generally non-refundable once enrollment for that month has been confirmed, including when a student subsequently misses sessions or voluntarily withdraws during the month.
  3. Missed sessions due to illness, vacation, personal circumstances, appointments, or other voluntary absence do not qualify for a refund or tuition reduction.
  4. The annual $50 registration fee is non-refundable once registration has been processed.
  5. Extended-pickup fees are non-refundable for unused days or periods after the service has been arranged and paid for.
  6. A refund may be considered only in exceptional circumstances at Nashia's discretion, including circumstances in which Nashia is unable to provide the paid program or an appropriate replacement arrangement.
  7. Any approved refund will be calculated based on the applicable unused or undelivered portion of the service and may exclude registration, administrative, or already-used services.
  8. Refunds, when approved, will normally be returned through the original payment method where reasonably possible.
  9. Outstanding fees, damage charges, late-pickup fines, or other applicable charges remain payable even when a student withdraws from the program.
  10. A parent/guardian may not offset outstanding charges against a requested refund unless expressly approved by Nashia in writing.

18.Non-Discrimination & Inclusive Learning

  1. Nashia is committed to providing a respectful learning environment where students are encouraged to learn, create, collaborate, explore, and develop their individual strengths.
  2. Nashia aims to provide reasonable accommodations and appropriate support where feasible.
  3. Parents/guardians are encouraged to communicate relevant learning, developmental, accessibility, or participation needs during enrollment so that Nashia can plan appropriately.
  4. Nashia may review individual support requirements to determine whether appropriate accommodations can reasonably be provided within the program's available resources and safety requirements.

19.Privacy & Information Use

  1. Information collected through the enrollment process will be used for purposes including student registration, program administration, communication, safety, identification, payment verification, and educational planning.
  2. Nashia will take reasonable steps to protect student and family information and limit access to authorized personnel.
  3. Information may be shared with appropriate personnel or emergency services when reasonably necessary to protect a student's health or safety or to fulfill legitimate program operations.
  4. Parents/guardians are responsible for ensuring that the information provided to Nashia is accurate and appropriate for program administration.

20.Parent/Guardian Responsibility

By enrolling a student, the parent/guardian confirms that:

  • The information submitted to Nashia is accurate and complete.
  • They will notify Nashia of relevant changes.
  • They will follow Nashia's payment, attendance, pickup, and communication procedures.
  • They will ensure that the student follows reasonable program rules and expectations.
  • They understand that hands-on educational and physical activities may involve ordinary and foreseeable risks.
  • They will communicate relevant health, learning, accessibility, or safety information that may affect the student's participation.
  • They accept responsibility for applicable charges resulting from damage caused by their child.
  • They understand the 6:15 PM absolute pickup deadline and the $50 late-pickup fine for every pickup after 6:15 PM.
  • They understand the applicable tuition, registration fee, discounts, extended-pickup fee, and refund terms.

21.Acceptance of Terms

Submission of the Nashia After-School Enrichment Program Enrollment Form constitutes acknowledgment that the parent/guardian has:

  • Read and understood these Terms & Conditions;
  • Agreed to comply with the program requirements;
  • Accepted the applicable tuition and fee structure;
  • Accepted the stated refund and cancellation policy;
  • Accepted the pickup and late-pickup requirements;
  • Accepted responsibility for applicable property-damage charges; and
  • Agreed to ensure that the enrolled student follows Nashia's program rules and expectations.

Key Financial & Pickup Terms

  • Annual Registration Fee: $50 per student/year
  • Regular Program: $400/month
  • Early-Enrollee Discount (by Sept 30, 2026): 25% → $300/month
  • Sibling Discount: 10%, where applicable
  • Advanced Program: $250–$450/month depending on activities/days
  • Extended Pickup: 5:15 PM–6:15 PM → $100/month
  • Late pickup after 6:15 PM: $50 fine per occurrence

IMPORTANT: By submitting the enrollment form, the parent/guardian acknowledges the $400/month Regular Program tuition, the September 30, 2026 Early-Enrollee deadline and $300 discounted tuition, the $50 annual registration fee, 10% sibling discount, applicable Advanced Program fees, $100 extended-pickup fee, $50 late-pickup fine after 6:15 PM, property-damage financial responsibility, and the refund policy stated above.

Nashia reserves the right to update these Terms & Conditions when necessary. Parents/guardians will be notified of material changes affecting their child's enrollment.
